Dear Residents

Below follows some news and information about our Estate and the goings-on around it.

Board matters
We are still looking for a member of the ZHOA to fill our Reputational Risk portfolio. We hope to be able to give you some good news in the following newsletter.
The board accepted Marcel Theron's offer to serve on our Aesthetics committee at a small fee.
The Board had a look at and considered the budget for 2019. The Board approval will take place at the March meeting where after the AGM will have the final say.
Please remember our AGM to be held in May. We will provide you the exact date with our next issue.

Developments around the Estate
Please take note of two developments around our Estate. The one is opposite the main gate stretching from the old JHB road to the west and along Wierda Road and Ruimte Road. The area is earmarked for a huge retail development. The ZHOA is registered as an interested party and we will be part of the pre-development process.
The second one is the development on the corner of Wierda Road and Ashwood Street. We are talking about the north-west corner. Once again, the Board keeps an eye on the pre-development stage and will ensure that the interest of residents is looked after.

Gardens and general maintenance
It is easy to have beautiful gardens when it rains abundantly but not so easy when the heat continues. We try our best to keep the gardens in good shape under these circumstances.

Dolomite management
We drilled 5 bore holes in and around the Jones Creek sagged road to try and establish the soil quality beneath the road. We expect the engineer's report soon whereafter the Board will consider the next step in the repair process. We will keep you posted. To the residents that were directly affected, thank you for your patience and support!

New construction and renovations
This month a few more owners chose to commence with their building activities. There are now 3 houses in progress with 5 owners awaiting City of Tshwane approval. There are 4 renovations in progress.

Hagan Manor
We are currently negotiating the final clauses of the contract with the developer. Like all contracts, the devil is in the detail and the ZHOA is ensuring that the final contract does indeed address all issues. We will keep you informed of progress. Thanks to Werner Nolte, our Chairman for the amount of work he has put into the preparation of the contract and the issues around it.

Fibre for Jones Creek, Vardon Fairways and Hagen Greens
We hope to give you the fibre access in March. Morné is continuously on the suppliers back to get the connection done. We apologize for the delay but there is not much else we can do.

We are continuously upgrading and improving our systems and procedures to enhance the safety of our residents. Please refer to Morne's report for more detail.

The Board is looking at all the risk areas of the ZHOA. This exercise is driven by the risk management experienced Hannes Struyweg. Security is the first to prepare a complete risk register and Hannes is assisting Rohan de Villiers, our Security Director with the task.

Our security guards can unfortunately not assist with any events and noisiness from outside the Estate's borders. The Board receives requests to assist in these matters from time to time but the principle of not getting involved, remains.

Did you know?
This month I continue with the discussion around Director's responsibilities.

Board members must at all time act in the best interest of the organisation and are accountable to its members for doing so. There are undefined but rational conduct practices that are expected from a director. Directors contravening these basic principles and rules may be charged with misconduct. Some forms of misconduct are:

• Not exercising the necessary care when taking decisions
• Not being diligent in all matters
• Not obtaining the skills that may be reasonably expected from a director
• Not acting in good faith – called the judiciary duty
• Act outside his or her powers of authorization granted
• Do not make time available to prepare for meetings, attend meetings and actively participate in meetings
• Not understanding the organisation well
• Not insisting on sound and sufficient information to make well informed decisions
• Not obtaining independent advice where appropriate
• Not managing conflict of interest
• Not maintaining confidentiality of information received
• Not complying with the organisation's code of conduct for directors

Security Report

We are happy to report no serious incidents occurred during Feb 2019. Our security operations are on good standard. Certain improvements have been made to upgrade our security in the Estate and create a safer environment for all.

Southern Golf course interface patrols
We are proud to announce that our security teams will as from next week patrol the southern border of the golf course with a new electric scooter. This will be more efficient and security guards will be able to move more frequently between the two perimeters at a faster pace. Patrols are done between 17h00 and 19h00 in the evenings and between 05h00 and 07h00 in the mornings when residents go for a walk or jog on the course.

Reminder of security change

Contractors and service providers to your residence must be booked in via the app as follows: 

Permanent Contractors – (These are new building sites and renovations.) The main Contractor and sub - contractors will register at the HOA office and complete a contractors registration form and supply copies of his and the co - workers ID documents. The main contractor and sub – contractors details will be uploaded onto the visitor's management system as a regular contractor with the start and end dates for access. The contractor and sub - contractors will then be given access during this specified period

We will change all existing sites by end of February 2019 to the new procedures and do away with the old contractor's card system. As from 1 February 2019 all new sites will use the new procedures.

Temporary contractors - (These are contractors that do quick maintenance jobs or repairs under two weeks). The resident is responsible to book these contractors to their house via the booking in App. The resident uses the contractor's facility on the app and books him in as a regular with the start date and end date.

Group visitors booking
The procedure is as follows:
Group bookings can now be made for your visitors for instance when allot of guests enter to your house for functions etc. Residents will make use of the new group bookings facility on the app. By using this facility you can just choose each visitor on your existing contacts list and the system will automatically generate pin codes to each of these visitors at once. You do not have to enter each visitor individually any more.

Deliveries, collections and services:
e have a special facility for deliveries and collections. Your Uber, packages to be delivered, food deliveries etc. must now be booked into the Estate via the app and the procedure is as follows: 

On the app is a facility called deliveries and collections. When opened you can enter type of visit, Name of company and start and end date of the delivery. You don't have to send a pin code to the driver because the details of your delivery service and date will be saved on the app system pre-entered by you. When the driver arrives at the gate he supplies the name and address to the guard, it will be entered into the scanner and the detail will automatically appear on the scanner with a dedicated pin code for the driver to get access.

The following further changes to our systems and procedures have been made

Domestic and gardener registrations
All new domestic workers and gardeners who are registered will no longer have to go the SAPS for fingerprints as we as the HOA will do this electronically at the office by means of Lexis Nexis criminal background checks. The HOA will provide this service during registration of a new domestic and gardener and charge the resident R 140-00. The background checks will be done within 24 hours and results forwarded to the resident.

After hour arrival at security gates
Previously our procedures were that residents had to book themselves in with a pin code which was to be supplied to security guards. Due to many comments on the system we have made some changes. Residents who now arrive at the closed security gates or on their way to the Estate late at night must please phone the gate in advance or on arrival use the intercom system and identify themselves by giving a unique password. This password will change quarterly. The password for this first quarter is "Romeo ". If the wrong password is used our security will see it as a distress call.

Employee of the month
Our employee of the month is Barnard Ngobeni for his excellent service and good attendance record during the month. Barnard is a hard worker and always willing. We congratulate Barnard on his achievements.

Where an estate agent who is not listed below, is mandated by a member to sell his/her property, the ZHOA will require the estate agent to meet the terms upon which estate agents may market for sale or rental units on the Estate and will levy an administration fee to the Member concerned.
