Dear Residents

Welcome back and we trust your holiday was a pleasant and enjoyable one

Board issues
Hannes Struyweg's appointment as director was made official with the necessary legal documents completed and submitted. Once again welcome to Hannes and we appreciate his willingness to serve on the Board.

The Board created a Reputation Risk portfolio which includes such things as relationship building with all stakeholders, environment and pollution, communications, knowing what the future developments are around the estate, and any other matters that impact on the reputation of our Estate. The board has identified such a person and who is willing to serve on the Board. We will keep you posted.

Going forward, the Board meetings will take place on the 3rd Thursday of the month.

Gardens
You might have noticed that we tackle the garden and make the necessary improvements piece by piece. Slowly but surely the gardens are improving and looking better and better.
Dolomite management
Remember to do your monthly dolomite check lists.

The engineers are nearly ready with their recommendation for the repair on the road in Jones Creek. Quotes will be obtained before the repair work can start.

New construction

This month one more owner chose to start with his building activities. There are now 5 houses in progress.

Hagen Manor

The Board finalised the development contract at its last meeting. This will now be sent to the developer for his comments where after the signing will take place. I will be able to give an idea of the development phases and time lines once the contract has been signed.

Fibre for Jones Creek, Vardon Fairways and Hagen Greens

Open Serve, the fibre cable installers, has completed their work but are repairing damaged infrastructure here and there. We hope to give you the fibre access by end of February.

Security

The new operating system installed late last year is working well and the improvements are clearly noticeable by our control room operators. We are currently concentrating on the number of false alarms being received on our system and trying to reduce these.
We had a very quiet December period with no incidents reported.

Did you know?

The next 2 months I would like to discuss Director's (for home owners associations) responsibilities with you, but before I do this I would like to list your responsibilities and rights as resident of the Estate.

Your basic rights as a member of the ZHOA are as follows:
• The attendance of meetings (Annual general meetings or Special general meetings) and voting at these meetings.
• Be treated with respect, be treated fairly and not be discriminated against.
• Be entitled to a fair and equitable complaints and dispute resolution procedure.
• Have access to financial reports, minutes of the annual general meetings and board meetings.
• Request for other documents to be shared.
• Be kept informed on all important matters.

Your responsibilities towards the ZHOA are:
• Respect the rules that apply to you – conduct rules, security rules and aesthetics rules.
• Prompt payment of all levies and other contributions charged by the ZHOA

Security Report

General
We are happy to report no serious incidents occurred during December 2018. The festive season kicked off on a high note and ended on a high note. Thanks to all our security guards who worked hard and stayed vigilant at all times. We also want to wish all residents a prosperous new year.

Security systems and procedures

Please take note of the following changes and additions to our visitors booking in system Residentry apply:

Contractors and service providers to your residence must be booked in via the app as follows:

Permanent Contractors (These are new building sites and renovations.) The main Contractor and sub - contractors will register at the HOA office and complete a contractors registration form and supply copies of his and the co - workers ID documents. The main contractor and sub – contractors details will be uploaded onto the visitors management system as a regular contractor with the start and end dates for access. The contractor and sub - contractors will then be given access during this specified period

We will change all existing sites by end of February 2019 to the new procedures and do away with the old contractors card system. As from 1 February 2019 all new sites will use the new procedures.

Temporary contractors - (These are contractors that do quick maintenance jobs or repairs under two weeks). The resident is responsible to book these contractors to their house via the booking in App. The resident uses the contractor's facility on the app and books him in as a regular with the start date and end date.

Group visitors booking
Group bookings can now be made for your visitors for instance when a lot of guests enter to your house for functions etc. Residents will make use of the new group bookings facility on the app. By using this facility you can just choose each visitor on your existing contacts list and the system will automatically generate pin codes to each of these visitors at once. You do not have to enter each visitor individually any more.

Deliveries, collections and services:
We have a special facility for deliveries and collections. Your Uber, packages to be delivered, food deliveries etc. must now be booked into the Estate via the app and the procedure is as follows: 

On the app is a facility called deliveries and collections. When opened you can enter type of visit, Name of company and start and end date of the delivery. You don't have to send a pin code to the driver because the details of your delivery service and date will be saved on the app system pre-entered by you. When the driver arrives at the gate he supplies the name and address to the guard, it will be entered into the scanner and the detail will automatically appear on the scanner with a dedicated pin code for the driver to get access.

The following further changes to our systems and procedures have been made:

Domestic and gardener registrations:
All new domestic workers and gardeners who are registered will no longer have to go the SAPS for fingerprints as we as the HOA will do this electronically at the office by means of Lexis Nexis criminal background checks. The HOA will provide this service during registration of a new domestic and gardener and charge the resident R 140-00. The background checks will be done within 24 hours and results forwarded to the resident.

Security general procedures and rules:

Fingerprint access for visitors: Residents who get out of their vehicles and open the boom gates for a visitor with his/her fingerprint to grant access is a contravention of the security rules and is not permitted. All residents must please follow the correct booking in procedures for their visitors.

Tailgating: Residents who allow visitors to tail gate at the booms (especially Jones Creek and Vardon Fairways) are in breach of the security procedures and such behaviour can and will not be permitted. Your cooperation will be appreciated.

After hour arrival at security gates: Previously our procedures were that residents had to book themselves in with a pin code which was to be supplied to security guards. Due to many comments on the system we have made some changes. Residents who now arrive at the closed security gates or on their way to the Estate late at night must please phone the gate in advance or on arrival use the intercom system and identify themselves by giving a unique password. This password will change quarterly. The password for this first quarter is "Romeo ". If the wrong password is used our security will see it as a distress call.

Ephraim is now available to wash your car at Zwartkop on a Tuesday, Wednesday, Thursday and Saturday. 
Please support him – you will find him (easily identifiable in his orange jumpsuit) in the car park!

Tuesday is Half Price Pizza Night at Zwartkop 

Order whatever pizza you like off the menu and you will only be charged half price.
